Most owners assume a slow process means they need more people or a stricter workflow policy. What's actually happening, in the majority of cases we see, is that two or three systems that should talk to each other don't, and a person has become the connector.
The decision that mattered most in the operations platforms we've built wasn't a particular feature or integration. It was refusing to let a human be the API between two pieces of software. If a system needs data from another system, the software should move it, not a staff member copying numbers from one screen to another at 4pm on a Friday.
If someone on your team has an informal role like "the one who reconciles the spreadsheets" or "the person who checks both systems before invoicing," you already have your answer. That job exists because two tools don't share data automatically. It's not a training problem and it's not a discipline problem. It's a missing connection.
This pattern shows up constantly in logistics and freight operations, where a dispatch system, a billing system, and a customer-facing portal often come from three different vendors and were never meant to work together. Someone ends up re-entering load numbers, checking statuses across tabs, and manually triggering the next step. That person isn't slow. The system around them was never built to move without a human pushing it forward.
Hiring another person to help with reconciliation just adds a second point of failure to the same broken handoff. Now you have two people who need to stay in sync, plus the original systems that still don't talk to each other. The cost compounds instead of resolving.
The fix isn't a bigger team. It's an integration layer, whether that's a custom API connecting the existing tools or a purpose-built system that replaces the manual middle step entirely. Once the data moves on its own, the job that person used to do either disappears or turns into actual oversight work: catching exceptions, not performing the transfer.
A common instinct is to add a dashboard that pulls from both systems so someone can see everything in one place. That helps visibility, but it doesn't remove the manual step. The person still has to act on what they see and push updates back into each original system by hand.
The more durable fix is picking one system of record for a given piece of data and having everything else read from it, rather than maintaining parallel copies that drift out of sync. Not every manual step is worth automating. If something happens twice a month and takes five minutes, leave it alone. Those are the tasks where a person is functioning as a scheduler and a data mover rather than making a judgment call. If you removed that person for a week, would anything actually require their expertise, or would the process just stall waiting for someone to notice? That question usually points straight at what to automate first.
Before you write a job description for another coordinator or reconciler, look at what that role would actually be doing all day. If the answer is moving data between two systems that should already share it, you don't have a staffing gap. You have a stitching problem, and it will keep costing you as you grow, because every new hire in that role just adds another manual link in a chain that shouldn't exist.
Ask yourself which task on your team today exists only because two systems don't talk to each other, and whether fixing that connection once would be cheaper than filling that role again next year.
